Creating a Queue

Navigate to Contact Center > Queues
In the TalkChief dashboard, open the Contact Center section in the left navigation and select Queues. You will see a list of any existing queues.

Click "New Queue" and name it
Select New Queue in the top-right corner. Give the queue a clear, descriptive name (for example, “Billing Support” or “Spanish Sales”) so agents and supervisors can identify it at a glance.

Set maximum wait time and queue size
Define how long a caller can wait in the queue before being redirected (maximum wait time) and how many callers can be queued simultaneously (queue size). Callers who exceed either limit are routed to your configured overflow destination — voicemail, another queue, or a custom message.

Choose a routing strategy
Select how incoming calls are distributed among available agents: Skill-Based, Time-Based, or Ring Group. See Routing Strategies below for guidance on each option.

Assign agents or ring groups
Add the agents or ring groups that should receive calls from this queue. For skill-based routing, you will also assign proficiency levels or skill tags to each agent at this step.

Configure hold music and position announcements
Upload custom hold audio or choose from TalkChief’s built-in music library. Enable Position Announcements to let callers know their place in the queue, and set the announcement frequency (for example, every 60 seconds). When you are satisfied, click Save Queue.
Routing Strategies
TalkChief supports three routing strategies. You can switch between them at any time without restarting the queue.Skill-Based Routing
Skill-based routing matches each incoming call to the agent best equipped to handle it. You define skills — such as “Tier 2 Support,” “Spanish,” or “Enterprise Accounts” — and assign them to agents with optional proficiency ratings. When a call arrives, TalkChief scores available agents and connects the caller to the best match. If no agent with the required skill is available, the call falls back to the next-best match or waits in queue.Time-Based Routing
Time-based routing sends calls to different destinations depending on the time of day or day of the week. For example, calls arriving during business hours can go to your main agent pool, while after-hours calls are redirected to voicemail or an on-call ring group. This strategy is typically used alongside Operating Hours & Shifts (see below) for fine-grained schedule control.Ring Group Routing
Ring group routing rings multiple agents simultaneously or in a fixed sequence. In simultaneous mode, every agent in the group is alerted at once and the first to answer takes the call. In sequential (round-robin) mode, TalkChief cycles through agents in order, ensuring an even distribution of calls across the team.Queue Callback
Queue callback lets callers opt out of waiting on hold and instead receive a return call from an available agent. This reduces abandonment rates and improves caller satisfaction. To enable queue callback for a queue:- Open the queue’s settings and navigate to the Callback tab.
- Toggle Enable Queue Callback on.
- Set the threshold — the estimated wait time (in minutes) at which the callback option is offered to the caller.
- Record or upload the prompt that plays to offer the option (for example, “Press 1 to keep your place in the queue and receive a callback instead of waiting.”).
- Save your changes.
Operating Hours & Shifts
Operating hours define when each queue is active. Outside of those hours, you can route calls to a voicemail box, redirect them to another queue, play a custom message, or forward them to an external number. To configure operating hours:- Open the queue and select the Schedule tab.
- Click Add Schedule and define your business hours for each day of the week.
- Under Out-of-Hours Handling, choose a destination for calls that arrive outside the schedule.
- For teams with shift patterns, use Shift Management to create named shifts (Morning, Evening, On-Call) and link them to agent groups. Supervisors can update shift assignments in real time without disrupting active calls.
Blacklisting Numbers
If specific phone numbers are causing disruption — persistent spam, abusive callers, or automated robocalls — you can block them so they never enter your queues. To blacklist a number:- Go to Contact Center > Settings > Blacklist.
- Click Add Number and enter the full E.164-formatted number (for example,
+14155550100). - Optionally add a note explaining the reason for blocking.
- Click Save. Calls from that number will be silently rejected or played a disconnection tone, depending on your configuration.
