# Connect HubSpot to log TalkChief calls automatically

> Set up the TalkChief app for HubSpot: connect with your HubSpot login, log every call on the right contact with its recording, and disconnect safely.

The TalkChief app for HubSpot logs every TalkChief phone call in your HubSpot account without anyone typing it in. You connect once with your HubSpot login, with no API keys or tokens to copy, and from then on each finished call appears on the matching HubSpot contact with its outcome, talk time, the agent who handled it and a link to the recording.

## What the app does

* **Logs every external call**: inbound and outbound calls are logged as HubSpot calls. Calls between two TalkChief extensions are not logged.
* **Finds the right contact**: TalkChief looks up the caller's number (or the number you dialed) in the **Phone number** and **Mobile phone number** of your HubSpot contacts, in any format.
* **Creates contacts for new numbers**: when no contact has the number, TalkChief creates one with the number and the caller ID name. You can turn this off.
* **Assigns the call to the agent**: the call's owner is the HubSpot user whose email matches the TalkChief agent's email.
* **Adds the recording**: when the call was recorded, the HubSpot call links to the recording so you can play it from the contact record.
* **Calls from inside HubSpot**: click a phone number in HubSpot and TalkChief places the call through your TalkChief phone. Incoming calls open the caller's record in HubSpot. See [Call from HubSpot](#call-from-hubspot).

Each logged call shows:

| HubSpot field | What TalkChief puts there |
| - | - |
| Title | **Inbound call from** or **Outbound call to**, followed by the other party's number |
| Direction | Inbound or outbound |
| Call status and outcome | Answered calls show **Connected**; busy, unanswered and voicemail calls show **Busy**, **No answer** or **Left voicemail** |
| Duration | Talk time |
| From and to numbers | The numbers on the call |
| Notes | Status, the agent's name and extension, and talk time |
| Recording | A link to the call recording, when there is one |
| Call owner | The agent's HubSpot user, when their emails match |

Calls usually appear in HubSpot within a few minutes of hanging up.

## Before you start

* You are a **company admin** in TalkChief.
* In HubSpot, you can install apps in the account you want to connect (super admins can; other users need permission to install apps from their super admin).
* One HubSpot account can be connected to one TalkChief company.

## Connect HubSpot

**1. Open Integrations in TalkChief**

In the TalkChief web app, select **Integrations** under **Configuration** in the sidebar. The page opens on the **CRM** tab.

**2. Start the connection**

On the **HubSpot** card, select **Connect**. TalkChief sends you to HubSpot.

**3. Sign in to HubSpot and choose the account**

Sign in with your HubSpot login. If you have more than one HubSpot account, choose the one to connect.

**4. Approve access**

HubSpot shows the access TalkChief asks for (see [Data TalkChief uses in HubSpot](#data-talkchief-uses-in-hubspot)). Select **Connect app**.

**5. Confirm in TalkChief**

HubSpot sends you back to **Integrations** in TalkChief. A message confirms that HubSpot is connected, and the HubSpot card moves to your connected integrations with a **Connected** label.

**6. Test with a real call**

Make or receive a call with TalkChief. A few minutes after you hang up, open the contact in HubSpot and check that the call is on its activity timeline.

## Choose what gets logged

On the connected HubSpot card in **Integrations**, select the settings (gear) icon. The **HubSpot settings** window shows the connected HubSpot account and three switches you can change at any time. Each change is saved as soon as you flip the switch and applies to calls that end afterwards.

| Setting | On (default) | Off |
| - | - | - |
| **Log calls** | Every external call is logged | Nothing is logged, and the connection stays in place. The other two switches are unavailable while this is off |
| **Log missed calls** | Busy, unanswered, cancelled and voicemail calls are logged too | Only answered calls are logged |
| **Create contacts for new numbers** | Unknown numbers get a new HubSpot contact | Calls from unknown numbers are logged without a contact |

## Call from HubSpot

The TalkChief calling panel lets each agent place and receive TalkChief calls from HubSpot records. You talk on your usual TalkChief phone (the TalkChief app or your desk phone), so moving between HubSpot pages never drops a call.

**1. Choose TalkChief as your calling provider**

In HubSpot, open a contact and select **Call**. In the calling panel, choose **TalkChief** as the provider. To also receive incoming calls in HubSpot, go to **Settings** > **General** > **Calling** and choose **TalkChief** under **Make and receive calls through**.

**2. Sign in to TalkChief**

In the TalkChief panel, select **Sign in to TalkChief**. A TalkChief window opens; sign in if asked, and it closes by itself when you are connected. Each agent signs in once on their own computer. Signing in here doesn't sign you out of the TalkChief web app or your TalkChief apps.

**3. Place a call**

Click a phone number on a HubSpot record. TalkChief rings your TalkChief phone first. Answer it, and TalkChief dials the number. Hang up on your phone.

**4. Receive a call**

When a call rings your TalkChief phone, HubSpot opens the caller's record. Answer on your TalkChief phone as usual.

Calls made or received through the panel appear on the contact once, with the same details as every other logged call: outcome, talk time, owner and recording.

> [!NOTE]
>
> Your TalkChief phone must be online to place calls: keep the TalkChief app open or your desk phone connected. Your company admin must have connected HubSpot first (see [Connect HubSpot](#connect-hubspot)).

## Data TalkChief uses in HubSpot

When you connect, you allow TalkChief to:

| Access | Why |
| - | - |
| Read contacts | Find the contact whose phone or mobile number matches the call |
| Create and update contacts | Create a contact for a number HubSpot doesn't have (only while **Create contacts for new numbers** is on) |
| Read owners (users) | Match the TalkChief agent to their HubSpot user by email, to set the call owner |
| Create calls | Log each call on the contact's timeline |

TalkChief writes calls and new contacts to HubSpot. It does not read or change your deals, companies, tickets, emails or other records, and it does not copy your HubSpot contacts into TalkChief.

## Disconnect HubSpot

To stop logging calls and remove TalkChief's access, open **Integrations** in TalkChief and select the trash icon on the HubSpot card (or **Disconnect** in the **HubSpot settings** window), then confirm with **Yes, disconnect**.

When you disconnect:

* Calls are no longer logged in HubSpot. Calls that were waiting to be logged are dropped.
* TalkChief deletes its access to your HubSpot account.
* Calls and contacts already in HubSpot stay there. Nothing is deleted from HubSpot.

You can connect again at any time: the HubSpot card returns to **Discover more integrations**, where you select **Connect**.

## Uninstall the app from HubSpot

You can also remove TalkChief from inside HubSpot: in your HubSpot account, go to **Settings** > **Integrations** > **Connected apps**, find **TalkChief**, and uninstall it.

After you uninstall, calls stop being logged and the HubSpot card in TalkChief shows **Reconnect needed**. Calls and contacts already in HubSpot stay there. To remove the connection from TalkChief too, disconnect it on the HubSpot card.

## Troubleshooting

> [accordion] The HubSpot card asks me to reconnect
>
> The card shows **Reconnect needed** when TalkChief lost access to HubSpot, usually because the app was uninstalled in HubSpot or its access was revoked. Select **Reconnect** (on the card or in the **HubSpot settings** window) and approve access again. Calls that ended in the meantime are logged once you reconnect, as long as you reconnect within 7 days.

> [accordion] This HubSpot account is already connected to another company
>
> A HubSpot account can be connected to only one TalkChief company, so that each company's calls stay in its own CRM. Disconnect it from the other TalkChief company first, or connect a different HubSpot account.

> [accordion] A call has no owner
>
> The call owner is set only when the agent's TalkChief email matches a HubSpot user's email. Use the same email in both, or add the agent as a user in HubSpot.

> [accordion] A call is not on the contact
>
> TalkChief matches the contact by its **Phone number** or **Mobile phone number**. Check that the contact has the caller's number in one of those fields. If **Create contacts for new numbers** is off, calls from numbers HubSpot doesn't have are logged without a contact.

> [accordion] The calling panel says my TalkChief phone is offline
>
> TalkChief rings your own TalkChief phone first, so it must be registered: open the TalkChief app on your computer or phone, or check that your desk phone is connected, then try again.

> [accordion] The calling panel asks me to sign in again
>
> Your TalkChief sign-in in the panel lasts 12 hours. Select **Sign in to TalkChief** to continue.

> [accordion] A recording does not play
>
> The recording link is added only when the call was recorded. Check that call recording is on for that number or team in TalkChief.
