# Connect HighLevel to log TalkChief calls automatically

> Set up the TalkChief app for HighLevel: install it in your sub-account, log every call in the contact's conversation with its recording, and disconnect safely.

The TalkChief app for HighLevel (GoHighLevel) logs every TalkChief phone call in your HighLevel sub-account without anyone typing it in. You connect once by installing the app in your sub-account, with no API keys to copy, and from then on each finished call appears in the matching contact's conversation with its result and recording, plus a note with the talk time and the agent who handled it.

## What the app does

* **Logs every external call**: inbound and outbound calls are logged as call entries in the contact's conversation. Calls between two TalkChief extensions are not logged.
* **Finds the right contact**: TalkChief looks up the caller's number (or the number you dialed) among the contacts of the connected sub-account.
* **Creates contacts for new numbers**: when no contact has the number, TalkChief creates one with the number and the caller ID name, assigned to the agent. You can turn this off.
* **Adds the recording**: when the call was recorded, the call entry carries a link to the recording, and the note repeats it.
* **Credits the agent**: the note is written by the HighLevel user whose email matches the TalkChief agent's email.
* **Calls from HighLevel**: the TalkChief calling panel places calls through your TalkChief phone and opens the caller's contact when your phone rings. See [Call from HighLevel](#call-from-highlevel).

Each logged call adds:

| In HighLevel | What TalkChief puts there |
| - | - |
| Call entry in the contact's conversation | Direction (inbound or outbound), the numbers on the call, the call status and the recording link when there is one. On incoming calls, the entry's text also shows the talk time and the agent |
| Call status | Answered calls show as completed; busy, unanswered, cancelled, voicemail and failed calls show as such |
| Note on the contact | **Inbound call from** or **Outbound call to** with the other party's number, the status, talk time, the agent's name and extension, and the recording link |
| New contact (only for unknown numbers) | The number, the caller ID name when there is one, source **TalkChief**, assigned to the agent |

Calls usually appear in HighLevel within a few minutes of hanging up.

## Before you start

* You are a **company admin** in TalkChief.
* In HighLevel, you can install apps in the sub-account you want to connect.
* One HighLevel sub-account can be connected to one TalkChief company. Install the app in that sub-account: installing it for a whole agency at once is not supported.

## Connect HighLevel

**1. Open Integrations in TalkChief**

In the TalkChief web app, select **Integrations** under **Configuration** in the sidebar. The page opens on the **CRM** tab.

**2. Start the connection**

On the **HighLevel** card, select **Connect**. TalkChief sends you to HighLevel.

**3. Choose the sub-account and approve access**

Sign in to HighLevel if asked. Choose the sub-account whose calls you want to log, review the access TalkChief asks for (see [Data TalkChief uses in HighLevel](#data-talkchief-uses-in-highlevel)) and approve it.

**4. Confirm in TalkChief**

HighLevel sends you back to **Integrations** in TalkChief. A message confirms that HighLevel is connected, and the HighLevel card moves to your connected integrations with a **Connected** label.

**5. Test with a real call**

Make or receive a call with TalkChief. A few minutes after you hang up, open the contact in HighLevel and check its conversation for the call and its notes for the TalkChief note.

## Choose what gets logged

On the connected HighLevel card in **Integrations**, select the settings (gear) icon. The **HighLevel settings** window shows the connected sub-account and three switches you can change at any time. Each change applies to calls that end afterwards.

| Setting | On (default) | Off |
| - | - | - |
| **Log calls** | Every external call is logged | Nothing is logged, and the connection stays in place |
| **Log missed calls** | Busy, unanswered, cancelled and voicemail calls are logged too | Only answered calls are logged |
| **Create contacts for new numbers** | Unknown numbers get a new HighLevel contact | Calls from numbers HighLevel doesn't have are not logged |

> [!NOTE]
>
> HighLevel logs calls only on a contact, so with **Create contacts for new numbers** off, a call from or to a number that no contact has is skipped.

## Call from HighLevel

The TalkChief calling panel lets each agent place TalkChief calls and see incoming ones while working in HighLevel. You talk on your usual TalkChief phone (the TalkChief app or your desk phone), and the panel runs in its own small window, so moving between HighLevel pages never closes it.

**1. Open the panel**

In your HighLevel sub-account, select **TalkChief** in the left menu, then **Open the TalkChief panel**. The panel opens in its own window; keep it open while you work.

**2. Sign in to TalkChief**

In the panel, select **Sign in**. A TalkChief window opens; sign in if asked, and it closes by itself when you are connected. Each agent signs in once per browser. Signing in here doesn't sign you out of the TalkChief web app or your TalkChief apps.

**3. Allow pop-ups for TalkChief**

When your browser asks, allow pop-ups for app.talkchief.io. The panel needs them to open the caller's contact in HighLevel.

**4. Place a call**

Type or paste the number on the panel's dial pad and select **Call**. TalkChief rings your TalkChief phone first. Answer it, and TalkChief dials the number. Hang up on your phone.

**5. Receive a call**

When a call rings your TalkChief phone, the panel shows it and opens the caller's contact in a HighLevel tab. If your browser blocked that, select **Open record** in the panel. Answer on your TalkChief phone as usual.

Calls made or received with the panel are logged once, like every other call: a call entry in the contact's conversation and a note with the talk time and agent.

> [!NOTE]
>
> HighLevel's own call buttons on a contact still use HighLevel's phone system, not TalkChief: place TalkChief calls from the panel. Your TalkChief phone must be online to place calls: keep the TalkChief app open or your desk phone connected. Your company admin must have connected HighLevel first (see [Connect HighLevel](#connect-highlevel)).

## Data TalkChief uses in HighLevel

When you install the app, you allow TalkChief to:

| Access | Why |
| - | - |
| Read contacts | Find the contact whose phone number matches the call |
| Create and update contacts | Create a contact for a number HighLevel doesn't have (only while **Create contacts for new numbers** is on) and add the call note |
| Read and create conversations | Find the contact's conversation, or start one |
| Write conversation messages | Add the call entry with its recording link |
| Read users | Match the TalkChief agent to their HighLevel user by email |
| Read the sub-account | Show the connected sub-account's name in TalkChief |

TalkChief writes call entries, notes and new contacts to HighLevel. It does not read or change your opportunities, calendars, campaigns or other records, does not send messages to your contacts, and does not copy your HighLevel contacts into TalkChief.

## Disconnect HighLevel

To stop logging calls, open **Integrations** in TalkChief and select the trash icon on the HighLevel card (or **Disconnect** in the **HighLevel settings** window), then confirm with **Yes, disconnect**.

When you disconnect:

* Calls are no longer logged in HighLevel. Calls that were waiting to be logged are dropped.
* TalkChief deletes its access tokens for your sub-account.
* Calls, notes and contacts already in HighLevel stay there. Nothing is deleted from HighLevel.

The TalkChief app stays installed in your HighLevel sub-account until you uninstall it there (see below). You can connect again at any time from the HighLevel card.

## Uninstall the app from HighLevel

To remove TalkChief completely, uninstall the TalkChief app from the sub-account in HighLevel. After you uninstall, calls stop being logged and the HighLevel card in TalkChief shows **Reconnect needed**. Calls, notes and contacts already in HighLevel stay there. To remove the connection from TalkChief too, disconnect it on the HighLevel card.

## Troubleshooting

> [accordion] The HighLevel card asks me to reconnect
>
> The card shows **Reconnect needed** when TalkChief lost access to HighLevel, usually because the app was uninstalled from the sub-account. Select **Reconnect** and approve access again. Calls that ended in the meantime are logged once you reconnect, as long as you reconnect within 7 days.

> [accordion] Connecting fails after I approve access
>
> Install the app in a single sub-account: TalkChief cannot connect an installation made for a whole agency. Select **Connect** again and choose the sub-account. If it still fails, contact TalkChief support.

> [accordion] This sub-account is already connected to another company
>
> A HighLevel sub-account can be connected to only one TalkChief company, so that each company's calls stay in its own CRM. Disconnect it from the other TalkChief company first, or connect a different sub-account.

> [accordion] A call is missing
>
> TalkChief logs a call only on a contact with the caller's number (or the number you dialed). Check that the contact has that number. If **Create contacts for new numbers** is off, calls from numbers HighLevel doesn't have are not logged.

> [accordion] The note has no agent
>
> The note is written by the agent's HighLevel user only when the agent's TalkChief email matches a HighLevel user's email in the sub-account. Use the same email in both.

> [accordion] The panel doesn't open the caller's contact
>
> Your browser is blocking pop-ups from app.talkchief.io. Allow them in your browser's settings, or select **Open record** in the panel for each call. The contact opens only when a contact in the connected sub-account has the caller's number.

> [accordion] The panel says my TalkChief phone is offline
>
> TalkChief rings your own TalkChief phone first, so it must be registered: open the TalkChief app on your computer or phone, or check that your desk phone is connected, then try again.

> [accordion] The panel asks me to sign in again
>
> Your TalkChief sign-in in the panel lasts 12 hours. Select **Sign in** to continue.

> [accordion] A call has no recording
>
> The recording link is added only when the call was recorded. Check that call recording is on for that number or team in TalkChief.
