# Connect Freshsales to log TalkChief calls automatically

> Set up TalkChief for Freshsales Suite: connect your Freshworks account, log each call and a Phone sales activity on the right contact, and disconnect safely.

TalkChief logs every TalkChief phone call in your Freshsales Suite account without anyone typing it in. You connect once with your Freshworks login, with no API keys to copy, and from then on each finished call appears on the matching Freshsales contact as a phone call and a Phone sales activity, with the outcome, talk time, the agent who handled it and a link to the recording.

## What TalkChief does in Freshsales

* **Logs every external call**: inbound and outbound calls are logged. Calls between two TalkChief extensions are not logged.
* **Two records per call**: a phone call on the contact's timeline, and a sales activity of your account's **Phone** type with the call's start and end time, owner and outcome.
* **Finds the right contact**: TalkChief looks up the caller's number (or the number you dialed) in the **Mobile** and **Work** phone numbers of your Freshsales contacts.
* **Creates contacts for new numbers**: when no contact has the number, TalkChief creates one with the number as its mobile number and the caller ID name as its name (or the number, when there is no name). When your account has a lifecycle stage named **Lead**, the new contact gets that stage. You can turn this off.
* **Assigns the activity to the agent**: the sales activity's owner is the Freshsales user whose email matches the TalkChief agent's email. When no user matches, the contact's owner is used.
* **Adds the recording**: when the call was recorded, the notes of both records include a link to the recording.

Each logged call shows:

| Freshsales record | What TalkChief puts there |
| - | - |
| Phone call | Direction (incoming or outgoing), the outcome, and a note with the details below |
| Phone sales activity | Title (**Inbound call from** or **Outbound call to**, followed by the other party's number), start and end time, owner, outcome and the same notes |
| Notes | The title, the call status, the agent's name and extension, talk time, the start time (UTC), the recording link when there is one, and **Logged by TalkChief** |
| Outcome | Your account's own Phone outcome with a matching name: **Connected** (or **Interested**) for answered calls, **Left voicemail**, **Busy**, or **No answer**. When your account has no outcome with a matching name, the call is logged without one |

Calls usually appear in Freshsales within a few minutes of hanging up.

## Before you start

* You are a **company admin** in TalkChief.
* You use **Freshsales Suite**: the web address you see when you are signed in to Freshsales ends with **myfreshworks.com**. Freshsales Classic is not supported.
* You connect with a Freshsales user who can see and create the contacts and sales activities TalkChief works with. TalkChief sees only what that user can see in Freshsales, so connecting as an admin is the simplest choice.
* One Freshsales account can be connected to one TalkChief company.

## Connect Freshsales

**1. Open Integrations in TalkChief**

In the TalkChief web app, select **Integrations** under **Configuration** in the sidebar. The page opens on the **CRM** tab.

**2. Start the connection**

On the **Freshsales** card, select **Connect**. The **Connect Freshsales** window opens.

**3. Enter your Freshsales address**

In **Freshsales address**, enter the first part of the web address you see when you are signed in to Freshsales, for example `yourcompany.myfreshworks.com`. You can also paste the whole address from your browser. Fill in **Organization URL (optional)** only when your Freshworks organization URL is different from your Freshsales address. Select **Connect**. TalkChief sends you to Freshworks.

**4. Sign in and choose the account**

Sign in with your Freshworks login. If your login has more than one account, choose the account with the address you entered, and select **Continue**.

**5. Approve access**

Freshworks shows the access TalkChief asks for (see [Data TalkChief uses in Freshsales](#data-talkchief-uses-in-freshsales)). Select **Agree**.

**6. Confirm in TalkChief**

Freshworks sends you back to **Integrations** in TalkChief. A message confirms that Freshsales is connected, and the Freshsales card moves to your connected integrations with a **Connected** label.

**7. Test with a real call**

Make or receive a call with TalkChief. A few minutes after you hang up, open the contact in Freshsales and check that the phone call and the Phone sales activity are on it.

## Choose what gets logged

On the connected Freshsales card in **Integrations**, select the settings (gear) icon. The **Freshsales settings** window shows the connected Freshsales account and three switches you can change at any time. Each change is saved as soon as you flip the switch and applies to calls that end afterwards.

| Setting | On (default) | Off |
| - | - | - |
| **Log calls** | Every external call is logged | Nothing is logged, and the connection stays in place. The other two switches are unavailable while this is off |
| **Log missed calls** | Busy, unanswered, cancelled and voicemail calls are logged too | Only answered calls are logged |
| **Create contacts for new numbers** | Unknown numbers get a new Freshsales contact | Calls from numbers Freshsales doesn't have are not logged, because Freshsales logs calls only on a record |

## Data TalkChief uses in Freshsales

When you connect, you allow TalkChief to:

| Access | Why |
| - | - |
| Read contacts | Find the contact whose mobile or work number matches the call |
| Create contacts | Create a contact for a number Freshsales doesn't have (only while **Create contacts for new numbers** is on) |
| Read users | Match the TalkChief agent to their Freshsales user by email, to set the activity's owner |
| Read sales activity types, outcomes and lifecycle stages | Find your **Phone** activity type, the outcome that matches the call, and the **Lead** stage for new contacts |
| Create phone calls and sales activities | Log each call on the contact |

TalkChief writes phone calls, Phone sales activities and new contacts to Freshsales. It does not read or change your deals, accounts, tasks, emails or other records, and it does not copy your Freshsales contacts into TalkChief.

## Disconnect Freshsales

To stop logging calls, open **Integrations** in TalkChief and select the trash icon on the Freshsales card (or **Disconnect** in the **Freshsales settings** window), then confirm with **Yes, disconnect**.

When you disconnect:

* Calls are no longer logged in Freshsales. Calls that were waiting to be logged are dropped.
* TalkChief deletes the access it stored for your Freshsales account.
* Calls, activities and contacts already in Freshsales stay there. Nothing is deleted from Freshsales.

You can connect again at any time: the Freshsales card returns to **Discover more integrations**, where you select **Connect**.

## Troubleshooting

> [accordion] The Freshsales card asks me to reconnect
>
> The card shows **Reconnect needed** when Freshworks no longer accepts TalkChief's access, for example because the access expired or the Freshsales user who connected was removed from the account. Select **Reconnect** (on the card or in the **Freshsales settings** window); the **Connect Freshsales** window opens with your address filled in. Approve access again. Calls that ended in the meantime are logged once you reconnect, as long as you reconnect within 7 days.

> [accordion] The Connect Freshsales window says the address is not valid
>
> Enter the address of a Freshsales Suite account: it ends with **myfreshworks.com** (or **freshworks.com** for an organization URL), for example `yourcompany.myfreshworks.com`. Freshsales Classic addresses are not supported.

> [accordion] TalkChief says it could not connect Freshsales
>
> TalkChief checks that the access you approved opens the Freshsales address you entered. Make sure you chose that same account on the Freshworks screen, then connect again.

> [accordion] This Freshsales account is already connected to another company
>
> A Freshsales account can be connected to only one TalkChief company, so that each company's calls stay in its own CRM. Disconnect it from the other TalkChief company first, or connect a different Freshsales account.

> [accordion] A call is not in Freshsales
>
> TalkChief matches the contact by its **Mobile** or **Work** phone number. Check that the contact has the caller's number in one of those fields. If **Create contacts for new numbers** is off, calls from numbers Freshsales doesn't have are not logged.

> [accordion] The activity is owned by someone other than the agent
>
> The owner is the agent's Freshsales user only when the agent's TalkChief email matches a Freshsales user's email; otherwise the contact's owner is used. Use the same email in both, or add the agent as a user in Freshsales.

> [accordion] A call has no outcome
>
> TalkChief picks the Phone outcome whose name matches the call: **Connected** (or **Interested**), **Left voicemail**, **Busy** or **No answer**. If your account uses other names, the call is logged without an outcome.

> [accordion] A recording link is missing
>
> The recording link is added only when the call was recorded. Check that call recording is on for that number or team in TalkChief.

> [accordion] Calls appear late on a very busy account
>
> Freshsales limits how many API requests an account can make each hour (1,000 on the Free and Growth plans, 2,000 on Pro and 5,000 on Enterprise). Each call takes about four requests. When the limit is reached, TalkChief waits and logs the calls later.
